How we work together.
Scope and fees
These terms apply when you accept a proposal from Statecraft Systems LLC ("we"). Your proposal lists the work, the projects covered and the fees. If your proposal and these terms differ, the proposal wins.
One-time work. Website builds and setup work (for example verifying your listings on maps and directories and setting up billing) are charged once, at the fees in your proposal. Accounts and listings are created under an email address you control, with us added as a manager, and we give you a record of each one: site, login email, renewal date and cost.
Care plan. A monthly plan at the fee in your proposal. It covers keeping the covered sites online, secure and working; updates and fixes; small changes to text, rates, photos, hours and similar; keeping listings accurate and renewed; and special efforts as described below. We reply within 2 business days, and the same or next business day if a site is down. It can cover future projects we both agree in writing (email or text is fine) to add.
Special efforts and time. A special effort is a self-contained task bigger than a quick edit and smaller than a project, such as a new page, a seasonal promotion, a new listing or a form change. Your proposal sets the monthly limit on special efforts and the time bank that small changes and special efforts share. Time is tracked in 15-minute steps, unused time doesn't roll over, and we tell you before you reach the limit. Extra time is $75/hour, and only with your OK in advance.
Out of scope. New websites, redesigns, new features, larger content or photo projects, paid advertising and anything expected to take more than about 2 hours. We send a short written quote first, and nothing is charged until you approve it.
Third-party costs
Domains, directory fees and paid tools are passed through at cost, with no markup. Ideally you pay the provider directly in your own account. Otherwise we pay and add the cost as its own line on your next invoice, with the receipt.
Recurring costs listed in your proposal are pre-approved. Any new cost over $25, or more than $50 in third-party costs in a month, needs your OK by email or text before we buy it.
Billing
You pay by card through a secure Stripe checkout and the card is saved for future charges. By accepting, you authorise Statecraft Systems to charge that card for: (a) the one-time fees in your proposal, when you accept; (b) the monthly care plan fee, each month on the same day of the month; and (c) approved third-party costs, extra time and quotes, on the next invoice or when they come up, for the receipt amount or the amount you approved.
You get a receipt for every charge, and you can update your card, view invoices or cancel through Stripe's customer portal. If a payment fails, Stripe retries it and we let you know. If a balance stays unpaid for 14 days, we may pause work until it's settled. Prices don't change without 30 days' written notice.
Cancellation
The care plan runs month to month. Either of us can cancel with 30 days' written notice (email or text is fine). The last month is billed as usual, along with any approved costs and extra time already incurred, and then charges stop. One-time fees are non-refundable once the work has begun.
Ownership
You own your domains, website content, photos, text, data and every account and listing set up for you, whether or not you stay on a plan.
If we register a domain for you, we hold it for you. On request we help you transfer it to a registrar account in your own name within 10 business days, subject to registry rules (for example, no transfers within 60 days of a registration, transfer or contact change). Reasonable handover help is included.
We may show your site as a portfolio example unless you ask us not to.
The fine print
We do our best, but we can't guarantee that third-party services (hosting, Google, directories, Stripe) will always be available. Each side's liability is limited to the fees paid in the previous 3 months. Each side keeps the other's private information confidential. These terms are governed by the laws of the State of Washington. Changes must be in writing; email or text counts.
